Initial contact
You call, email, or submit a quote request. A flight coordinator answers within 60 seconds, 24 hours a day. We’ll ask about the patient’s condition, current and destination locations, and timing.

Medical review
Our medical director reviews the case, consults with the attending physician if needed, and determines the appropriate level of care — air ambulance, medical escort, or specialized configuration.

Mission planning
We select the right aircraft and crew, file flight plans, secure airspace permits, arrange ground transport at both ends, and coordinate with receiving facilities. Most missions launch the same day.

Insurance & authorization
In parallel, our reimbursement specialists contact your insurer for pre-authorization, handle appeals if needed, and clarify out-of-pocket expectations before you commit.

Bedside pickup
Our medical crew arrives at the patient’s location — not the tarmac. We manage the transfer onto the aircraft, communicate with bedside nurses, and handle all equipment coordination.

In-flight care
Continuous ICU-level monitoring at altitude. Medical teams can manage ventilation, administer medications, and perform interventions. Families receive milestone updates.

Handover at destination
We don’t leave until the patient is in the receiving physician’s hands and clinical documentation is complete. Ground transport to the final facility is arranged in advance.

Follow-through
After the mission, we handle insurance submission, provide documentation to all parties, and follow up to ensure the clinical transition went smoothly.
